Understand the rules and agreements for using Ring Leader AI, your trusted AI call assistant for real estate agents.

1. ACCEPTANCE OF TERMS

By accessing or using Ring Leader AI's services ("Services"), you ("User," "you," or "your") agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use our Services. These Terms constitute a legally binding agreement between you and Ring Leader AI.

2. DESCRIPTION OF SERVICE

Ring Leader AI provides AI-powered call handling and appointment scheduling services specifically designed for real estate professionals. Our Services include:

AI voice assistants that answer missed calls 24/7

Automated lead qualification and appointment booking

Call recordings, summaries, and transcriptions

SMS and email notifications and confirmations

Calendar integration and appointment routing

Custom AI training for real estate scenarios

Affiliate program opportunities for qualifying users

3. USER ACCOUNTS AND ELIGIBILITY

To use our Services, you must:

Be at least 18 years of age

Be a licensed real estate professional where required by applicable law

Provide accurate, current, and complete registration information

Maintain the security and confidentiality of your account credentials

Be responsible for all activities that occur under your account

Notify us immediately of any unauthorized use of your account

4. AI CALL HANDLING AND RECORDING SERVICES

IMPORTANT: By using our Services, you acknowledge and agree to the following regarding our AI call handling:

Call Recording: Our AI system records and transcribes phone calls to provide voice assistant services. You are solely responsible for ensuring compliance with all applicable call recording laws in your jurisdiction.

AI Disclosure: Callers to your Ring Leader number will receive appropriate disclosure that they may be speaking with an AI assistant and that calls may be recorded for quality and training purposes.

Service Limitations: Our AI technology, while advanced, may not handle all call scenarios perfectly. You remain fully responsible for your business operations and client relationships.

Data Usage: We may use anonymized call data and interactions to improve our AI models and Services, but will not share personally identifiable client information except as required for service delivery or as permitted by our Privacy Policy.

Professional Responsibility: Ring Leader AI is a technology service and does not provide real estate advice or replace your professional judgment and licensing requirements.

To comply with communication regulations, users enabling outbound calling must confirm that their data-collection forms or lead-capture pages include the following consent language:

Agreement to receive both text messages and phone calls

Disclosure that calls may be automated, pre-recorded, or use an AI voice

Agreement to receive marketing communications

Instructions on how to opt out of future communications

5. AI-ASSISTED CALLS AND MESSAGING

Ring Leader and its associated agents may use AI-powered systems to make or assist with outbound phone calls, inbound phone calls, and text messages. These communications may include automated, pre-recorded, or AI-voiced messages related to marketing, lead follow-up, or scheduling. By providing your contact information through our website or forms, you consent to receive such communications.

To ensure responsible AI call handling and compliance with industry standards, the following rules apply to all Voice AI outbound activity:

Calls are made at a rate of one call per minute per location.

Each location can make up to 100 calls per day.

Each phone number can be called only once per day; any additional attempts will be automatically scheduled for the next day.

Each phone number can be called a maximum of 4 times within 2 weeks; calls exceeding this limit will fail automatically.

Calls are scheduled only between 10:00 AM and 6:00 PM, based on the contact’s phone number time zone.

Calls can only be made to contacts who have opted in to receive AI calls and who have not enabled Do Not Disturb (DND).

Calls can only be made to United States phone numbers.

You may opt out of future calls or messages at any time by replying “STOP” to a text message, following the instructions provided in each message, or contacting us directly at [email protected]

6. PAYMENT TERMS AND BILLING

Our Services are provided on a subscription basis with the following payment terms:

6.1 SUBSCRIPTION & ADD-ON FEES

Subscription Fees: Monthly subscription fees are billed in advance and are non-refundable except as specified in our refund policy

Setup Fees: One-time setup fees may apply and are non-refundable once services are configured

Payment Processing: All payments are processed securely through Stripe

Automatic Billing: By subscribing, you authorize automatic recurring billing to your chosen payment method

Payment Updates: You must notify us immediately of any changes to your payment information

Late Payments: Failure to pay may result in service suspension or termination

Taxes: You are responsible for all applicable taxes related to your use of our Services

Ring Leader provides tiered monthly subscription services. Each plan includes defined usage limits for AI call minutes, text messages, and platform features as outlined on your onboarding form or the official website.

Add-ons (such as AI voice chat, AI review follow-up, multilingual support, or additional call minutes) may be purchased separately and billed at the current rate.

By subscribing, you authorize recurring billing for your selected plan and any approved add-ons or overages.

6.2 OVERAGE CHARGES

Each subscription includes a defined allowance of call minutes and messages. Overage charges apply when these limits are exceeded, at the rate listed for your plan.

Overage fees are automatically billed to the payment method on file.

Ring Leader reserves the right to notify you if projected overages exceed $50 in a billing cycle.

7. CANCELLATION AND REFUNDS

You may cancel your subscription at any time by contacting us at [email protected] or 1-877-730-7464. Cancellations take effect at the end of your current billing period. We offer a 30-day money-back guarantee for new subscribers who are not satisfied with our Services, provided you request a refund within 30 days of your initial subscription date.

8. PROHIBITED USES

You agree not to use our Services to:

Engage in illegal telemarketing, spam calls, or robocalling

Record calls without proper consent or in violation of applicable laws

Use the AI system to impersonate licensed professionals you are not

Attempt to reverse engineer, copy, or replicate our AI technology

Use the Services to harass, threaten, abuse, or discriminate against call recipients

Violate any real estate licensing laws, regulations, or fair housing requirements

Sell, transfer, or assign your account to another party without our written consent

Use the Services for any unlawful purpose or in violation of these Terms

Interfere with or disrupt the integrity or performance of our Services

Attempt to gain unauthorized access to our systems or other users' accounts

9. AI AGENT BEHAVIOR & REAL ESTATE COMPLIANCE

Ring Leader’s AI systems operate as licensed assistants or inside sales agents under the supervision of the subscribing agent’s active real estate license and sponsoring brokerage.

When connected to an active licensee, the AI may provide publicly available property information such as listing prices, features, and showing details on behalf of that licensee.

The AI will not provide legal advice, contract interpretation, or negotiation guidance.

During onboarding, Ring Leader requires the licensed agent’s name, brokerage, and license number to ensure compliance with state real estate laws.

All users are responsible for maintaining compliance with their state’s licensing, advertising, and communication regulations.

10. USER-GENERATED CONTENT

You may provide content to our Services, including call recordings, business information, custom scripts, and other data ("User Content"). You retain ownership of your User Content, but grant us a license to use, process, and analyze such content solely for the purpose of providing and improving our Services. You are solely responsible for the accuracy and legality of all User Content you provide.

11. SERVICE AVAILABILITY AND MODIFICATIONS

While we strive to maintain high service availability, we do not guarantee uninterrupted or error-free service. We may:

Perform scheduled maintenance that may temporarily affect service availability

Modify, suspend, or discontinue any aspect of our Services at any time

Update our AI technology and service features

Provide reasonable notice of significant changes when possible

We may periodically introduce new features or integrations.

Certain features may be available as add-ons, upgrades, or included in specific tiers.

Continued use of new or updated features constitutes acceptance of any updated Terms.

12. INTELLECTUAL PROPERTY RIGHTS

Ring Leader AI and its licensors retain all rights, title, and interest in and to our Services, including our AI technology, software, algorithms, and proprietary methods. You may not copy, modify, distribute, or create derivative works based on our Services without our express written permission.

13. PRIVACY AND DATA PROTECTION

Your privacy is important to us. Our collection, use, and protection of your personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using our Services, you consent to the collection and use of your information as described in our Privacy Policy.

14. LIMITATION OF LIABILITY TO THE MAXIMUM EXTENT PERMITTED BY LAW

Our total liability for any claims related to our Services is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for any indirect, incidental, special, consequential, or punitive damages. This limitation applies regardless of the legal theory on which the claim is based. Some jurisdictions do not allow certain liability limitations, so these limitations may not apply to you.

15. DISCLAIMER OF WARRANTIES

OUR SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT OUR SERVICES WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE.

16. INDEMNIFICATION

You agree to indemnify, defend, and hold harmless Ring Leader AI and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from your use of our Services, violation of these Terms, or infringement of any third-party rights.

17. DISPUTE RESOLUTION AND ARBITRATION

17.1 Informal Negotiations

Before initiating any formal dispute resolution, you agree to first contact us at [email protected] to attempt to resolve any dispute informally. We will engage in good faith negotiations for a period of thirty (30) days.

17.2 Binding Arbitration

If informal negotiations fail to resolve the dispute, any controversy or claim arising out of or relating to these Terms or our Services shall be settled by binding arbitration in accordance with the Commercial Arbitration Rules of the American Arbitration Association. The arbitration shall take place in Harris County, Texas, United States.

17.3 Arbitration Fees

If arbitration fees are deemed excessive compared to the cost of litigation, Ring Leader AI will pay the excessive portion of such fees.

17.4 Time Limitation

You must bring any claim within one (1) year of the date the claim arose, or such claim will be permanently barred.

17.5 Class Action Waiver

You agree that any arbitration shall be conducted on an individual basis and not as a class action or collective proceeding.

18. SMS/TEXT MESSAGING TERMS

By using our Services, you consent to receive SMS/text messages from Ring Leader AI for service-related communications, including appointment confirmations, call summaries, and system notifications. Standard message and data rates may apply. You may opt out of non-essential messages by replying "STOP" to any text message.

19. TERMINATION

Either party may terminate this agreement at any time. We may terminate or suspend your account immediately for violation of these Terms. Upon termination:

Your right to use our Services ceases immediately

You remain liable for all charges incurred prior to termination

We may delete your account and data in accordance with our data retention policies

Certain provisions of these Terms will survive termination

20. MODIFICATIONS TO TERMS

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through our Services at least thirty (30) days before the changes take effect. Your continued use of our Services after the effective date constitutes acceptance of the modified Terms.

21. GOVERNING LAW AND JURISDICTION

These Terms are governed by and construed in accordance with the laws of the State of Texas, United States, without regard to conflict of law principles. Any disputes not subject to arbitration shall be resolved in the state or federal courts located in Harris County, Texas.

22. SEVERABILITY

If any provision of these Terms is found to be unenforceable or invalid, the remaining provisions will remain in full force and effect, and the unenforceable provision will be modified to the minimum extent necessary to make it enforceable.

23. ENTIRE AGREEMENT

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Ring Leader AI regarding your use of our Services and supersede all prior agreements and understandings.
